📖 Overview #
WebMailPRO email accounts can be accessed using standard email clients via secure
POP3S (incoming) and SMTPS (outgoing) connections.
If settings are incorrect or blocked by a firewall, users may experience:
- Inability to send or receive email
- Connection timeouts
- Repeated password prompts
This guide provides the correct configuration settings along with troubleshooting steps.
🔎 When to Use #
Use this guide if:
- You are setting up WebMailPRO on a new device
- Email is not sending or receiving
- A desktop or mobile device cannot connect
- You need to verify SMTP/POP3 settings
⚙️ Required Mail Server Settings #
Use the following settings when configuring any email client:
📥 Incoming Mail (POP3S) #
- Server: pop3s2.k12us.com
- Port: 995
- Encryption: SSL/TLS (required)
- Username: Full email address (example: jdoe@example.com)
- Password: Email account password
📤 Outgoing Mail (SMTPS) #
- Server: smtps2.k12us.com
- Port: 465
- Encryption: SSL/TLS (required)
- Authentication: Required
- Username: Full email address
- Password: Email account password
📱 Mobile Device Setup (No Screenshots Needed) #
📱 iPhone / iPad (Apple Mail) #
- Go to Settings โ Mail โ Accounts โ Add Account
- Select Other โ Add Mail Account
- Enter your:
- Name
- Email Address
- Password
- Choose POP at the top
- Enter the following:
Incoming Mail Server
- Host Name: pop3s2.k12us.com
- Username: Full email address
- Password: Email password
Outgoing Mail Server
- Host Name: smtps2.k12us.com
- Username: Full email address
- Password: Email password
- Save and allow verification
Tip: If verification fails, confirm ports 995 and 465 are being used with SSL enabled.
📱 Android (Gmail App / Native Mail) #
- Go to Settings โ Accounts โ Add Account
- Select Other / POP3 Account
- Enter your email address and password
Incoming (POP3)
- Server: pop3s2.k12us.com
- Port: 995
- Security: SSL/TLS
Outgoing (SMTP)
- Server: smtps2.k12us.com
- Port: 465
- Security: SSL/TLS
- Require sign-in: Yes
- Complete setup
Tip: Some Android devices label this as Personal (POP3).
💻 Desktop Email Clients (Quick Notes) #
For Outlook, Thunderbird, Apple Mail, etc.:
- Use POP3 with SSL (Port 995)
- Use SMTP with SSL (Port 465)
- Enable SMTP authentication
- Username must be the full email address
Do not enable:
- Secure Password Authentication (SPA)
⚠️ Firewall / Network Requirements #
If your organization uses a firewall, ensure the following:
- Ports Required:
- 995 (POP3S)
- 465 (SMTPS)
- Destination Network: 96.225.31.0/25
If these ports are blocked, email clients will not be able to connect.
🧪 Connection Testing (Windows) #
You can test connectivity using a Windows PC:
- Go to Start โ Run
- Type
cmdand press Enter - Run the following command:
telnet pop3s2.k12us.com 995
- Wait about 40 seconds
If you receive a timeout error:
- Port 995 is blocked, or
- The workstation cannot reach the Internet
To test SMTP:
- Press CTRL + ]
- Type
quitand press Enter - Run:
telnet smtps2.k12us.com 465
- Wait about 45 seconds
If this times out:
- Port 465 is blocked
⚠️ Common Issues & Fixes #
❌ Cannot Send Email #
- SMTP authentication not enabled
- Port 465 blocked by firewall
- Incorrect username/password
❌ Cannot Receive Email #
- Port 995 blocked
- SSL not enabled
- Incorrect username format
❌ Only Some Users Affected #
- Likely a local firewall issue on those devices
- Check:
- Windows Firewall
- Antivirus software (Symantec, etc.)
Note: Workstations can have multiple firewalls enabled at once.
📌 Best Practices #
- Always use SSL (Ports 995 & 465)
- Use full email address as username
- Do not enable Secure Password Authentication (SPA)
- Verify firewall rules before troubleshooting devices
